Terms and Conditions
Applicable to all Workout Away & Etu Retreats bookings.
1. Booking & Payment

1.1 Payment
​

All Workout Away & Etu Retreats bookings can be paid in full via our website at the time of booking. Confirmation is provided immediately upon successful payment.

Payments cover accommodation, scheduled workouts, meals (where stated), and activities included in your retreat itinerary. Flights, additional meals, optional excursions, and extras not explicitly mentioned in your itinerary details are not included.

All payments are processed securely through Stripe. We accept Visa Credit, Visa Debit, MasterCard, and American Express.
1.2 Deposits

Deposits are non-refundable.

If you book using a deposit, full payment is required eight weeks before your retreat start date. A payment link will be sent to you via email. The final balance must be paid in one transaction.

If full payment is not received by the due date, your booking may be cancelled, and your deposit forfeited.
2. Travel & Documentation
2.1 Visas & Travel Documents

You are responsible for ensuring you have the correct travel documents, including a valid passport and any required visas, before your retreat.

Some destinations require a minimum of six months’ passport validity—please check the entry requirements for your destination before travel.

Workout Away cannot assist with visa applications or related costs.
2.2 Travel Insurance

Travel insurance is mandatory for all participants. Your insurance should cover:

Medical expenses and emergency assistance

Trip cancellations, delays, and missed connections

Lost luggage and personal liability

Workout Away is not responsible for costs incurred due to travel disruptions, medical emergencies, or unforeseen events.
3. Cancellation & Refund Policy
3.1 If You Cancel
All deposits are non-refundable; however if you have paid the full balance, then:

Up to 12 weeks before the retreat: 50% refund

Between 12–8 weeks before the retreat: 25% refund

Within 8 weeks of the retreat start date: No refunds will be issued

Cancellations must be requested using the live chat on our website or by emailing info@workoutaway.com
3.2 If We Cancel

If Workout Away cancels your retreat due to unforeseen circumstances out of our control, you will be offered a full refund or the option to transfer your booking to another retreat of equal value.

We are not responsible for reimbursing flights, personal travel expenses, or accommodation booked outside ofyour Workout Away retreat. You should claim these costs through your travel insurance provider.

We will provide supporting documentation to assist with your travel insurance claim if we cancel.
4. Fitness & Safety
4.1 Your Responsibilities

Before your retreat, you must complete a Physical Activity Readiness Questionnaire (PAR-Q) and an Informed Consent Form.

You confirm that you are physically fit and able to participate in the retreat activities. If you have any health concerns, you must seek medical advice before booking.

By booking a Workout Away retreat, you acknowledge that sessions may include strength training, HIIT, running, cycling, yoga, and mobility sessions. You are responsible for participating in suitable sessions based on your fitness level.

You participate at your own risk.
4.2 Personal Belongings

Workout Away is not responsible for lost, stolen, or damaged personal items. We strongly recommend locking valuables (passport, money, electronics) in your hotel room safe.
4.3 Event Rules & Etiquette

We want everyone to have an enjoyable experience. We expect all guests to be respectful to fellow participants, trainers, and local staff.

Workout Away reserves the right to remove you from the retreat without a refund if your behaviour is disruptive, unsafe, or inappropriate, as determined by the organisers.
5. Photography & Media

5.1 Media & Photography Consent

We love capturing memories from our retreats! Workout Away may take photos and videos for use on our social media, website, and marketing materials.

All photos will be shared in the group WhatsApp chat. If there is a photo of you that you’d prefer not to be used, please let us know, and we’ll ensure it remains private.

By booking a Workout Away retreat, you agree to the use of your image unless you notify us otherwise before or during the retreat.
6. Third-Party Services

While we take reasonable steps to ensure the quality of third-party services (accommodation, transport, activities), Workout Away is not responsible for modifications, cancellations, or changes made by third-party providers.

Any issues arising from third-party services will be addressed directly with the provider.
7. Legal Disclaimer & General Waiver

By participating in a Workout Away retreat, you agree that your itinerary may include physical exercise that carries inherent risks. You voluntarily assume all risks related to participation.

The laws of England and Wales govern these Terms & Conditions, and any disputes will be subject to the jurisdiction of English courts.
